Overview
Managing world record submissions traditionally involves large volumes of participant data, documentation, and verification materials. For organisations responsible for reviewing these claims, handling submissions through manual processes or disconnected systems can quickly become inefficient and difficult to scale.
To address this challenge, QuantumXL partnered with the client to design and develop a custom web-based platform that digitises the entire world record registration process. The platform enables participants from around the world to create accounts, submit record attempts, and upload supporting evidence through a structured online workflow—ensuring consistency, clarity, and ease of use. At the same time, administrators receive a secure management portal where they can review submissions, validate documentation, and manage the approval or rejection of record applications. The result is a centralised system that simplifies record management while creating a scalable foundation for future platform growth.

The Challenge:
Handling global world-record submissions requires a structured process for collecting, reviewing, and validating large volumes of participant data and supporting evidence. Without a unified system, managing applications becomes time-consuming and difficult to track.
Participants needed a simple way to submit record attempts online
Supporting evidence such as documents and images required secure uploads
Administrators lacked a centralised workflow to review and validate applications
Managing approvals, rejections, and participant communication needed clearer oversight
The platform needed to support increasing submission volumes over time
The Solution:
Developed a custom web-based platform for registering world record attempts
Created a structured submission process to ensure consistent data collection
Implemented secure uploads for evidence such as images and documentation
Built an administrative dashboard for reviewing and managing submissions
Enabled record verification workflows for approving or rejecting applications
Designed the platform architecture to support future expansion and higher submission volumes
From Manual Submissions to a Structured Global Platform
The new platform transformed how world record attempts are submitted and managed. Instead of relying on fragmented processes, participants can now complete the entire registration workflow through a single digital interface. Administrators benefit from a centralised system that makes it easier to review applications, validate supporting evidence, and manage the approval process efficiently. The platform provides the foundation for a scalable record management system capable of supporting future growth and new platform features.
Streamlined submission process for global participants
Centralised dashboard for reviewing and managing record applications
Structured workflow for validating evidence and documentation
Scalable architecture prepared for increased submission volumes
"They ensured all aspects were thoroughly attended to and made a seemingly complex task appear very simple."QuantumXL successfully delivered a custom platform with a structured submission process, secure evidence uploads, and an administrative dashboard. The team was attentive, detail-oriented, and responsive. They also made complex tasks simple and managed everything within the agreed timeframe.
